Selling dorm beds on several booking sites is harder than selling private rooms, because a dorm is not full until every bed is taken. Calendar links can only say "booked" or "free", never "two beds left", and Booking.com and Agoda do not offer calendar sync for a room type with more than one unit at all. So you have to choose how each dorm is sold on each site.
Why dorms are different
A private room is either booked or free for a night. A six-bed dorm can have three guests and still have room for three more. Every tool that syncs by calendar link was built for the first case.
- A calendar link only says whether a date is taken. It cannot say how many beds are left.
- Booking.com only offers calendar sync for room types with one unit. A dorm listed as one room type with several beds cannot be synced by calendar link.
- Agoda only offers calendar connections for room types with exactly one room. The same limit applies.
Your options
1. Sell each bed as its own listing. Where a site lets each bed be its own listing with one unit, each bed gets its own calendar, and calendar links work normally. This is the most reliable way to use calendar sync for dorms, but not every site allows it, and guests may find a page of identical "Bed 1", "Bed 2" listings confusing.
2. Sell the dorm as one room type, and keep the counts by hand on sites without sync. On Booking.com, Agoda and Hostelworld, a dorm is usually one room type with a number of beds. Those sites manage their own bed counts, and calendar links cannot keep them in step. After each booking, lower the available beds on the other sites yourself.
3. Use a channel manager with a direct partner connection for the sites where most of your dorm bookings come from. These connections can update bed counts, not just dates, but the booking sites only grant them to approved partners, so they come with bigger systems.
How UpaKwarto handles dorms
In UpaKwarto, a unit can be sold whole or by the bed. Mark a unit as a dorm, set how many beds it has, and the rest follows:
- Several guests can book the same night; the night is only full when every bed is taken.
- Your direct booking page sells beds, priced per bed per night. A group of three books three beds, with no extra-guest fee.
- You get an overbooking alert the moment more beds are booked than exist, pointing at the booking that did not fit.
- The calendar shows how many beds are taken each night, for example "4 of 6 beds".
- The calendar UpaKwarto sends to each site only marks a night as booked once every bed is taken.
That last point is the honest limit. A site that reads the calendar link sees the dorm as open until it is full. On a nearly full night, it can still sell a bed that is gone. Keep the bed counts on those sites in step by hand, especially during peak weeks.
Practical tips for hostel owners
- Put your busiest booking site first, and keep its bed counts in step with extra care.
- Sell your last one or two beds on your direct booking page only during peak weeks, where the count is always right.
- Check every dorm's bookings each morning during Sinulog, Holy Week and Christmas.
- For private rooms in the same hostel, calendar links work normally. See How to avoid double bookings.
