Calendar sync can still double-book you because it is not instant. Each booking site reads the other calendars on its own schedule, often every few hours. If a guest books on Agoda at 2pm and Airbnb does not read that calendar until 4pm, a second guest can book the same nights on Airbnb in between.
This applies to every tool built on calendar links, including UpaKwarto. Knowing where the gap is lets you make it much smaller.
Where the gap comes from
A calendar link is a file each site publishes and the others download. Nobody pushes an update when a booking happens; each site fetches the file again when its own schedule says so.
- Airbnb says imported calendars update every 3 hours.
- Agoda says its calendar connections refresh several times a day.
- Booking.com says its calendars are not synced in real time.
A channel manager does not remove this delay. UpaKwarto can read each site's calendar as often as every 10, 20 or 30 minutes, depending on your plan, so it learns about a new booking quickly. But the other sites still read UpaKwarto's calendar on their own schedule. The slowest reader sets the size of the gap.
When the gap bites
The gap only matters when two guests want the same nights within a few hours of each other. On a quiet week in August, that almost never happens. On the nights before Christmas, Holy Week and your town's fiesta, it does. Those are also the nights with nowhere to move a guest.
How to make the gap smaller
- Watch new bookings during peak weeks. When a booking arrives on one site, close the same dates on the others yourself. A manual block takes effect immediately, while sync can take hours.
- Refresh by hand when it matters. Airbnb and Agoda both let you refresh imported calendars by hand, though Airbnb limits how often. Do it right after a peak-season booking comes in.
- Review requests instead of taking instant bookings on one site. On Airbnb, turning off Instant Book means you approve each request, so you can check your other calendars first. Doing this on your lower-volume site limits the risk without slowing your main one.
- Keep your calendars clean. Old test blocks and forgotten imports make it harder to trust what you see.
- Check every link now and then. A link that stops working fails silently, and sync quietly stops. Each site shows when it last read each calendar; UpaKwarto shows it too, and flags a connection when it keeps failing.
What to do if it happens anyway
Act the moment you notice. Decide which booking you are keeping, usually the one made first. Contact the other guest right away, apologise, and help them find somewhere nearby. Then cancel on that booking site, following its own process, since cancellations have their own rules and penalties on each site. UpaKwarto alerts you as soon as it sees two bookings overlap and suggests which one to keep, but it never cancels a guest by itself: that call is yours.
